Citizens Advice Carlisle and Eden is looking to recruit a full-time Receptionist/Administrator, with excellent interpersonal and IT skills.

Working in an extremely busy customer facing environment, you will be required to meet and greet clients, whilst providing administrative and basic IT support to a large team of volunteers and paid staff.

 

  • Hours:                              35 hours per week, Monday to Friday
  • Actual salary:                     £21,933 per annum (based on 37.5 hours per week at £23,500)
  • Leave entitlement:          25 days, plus Bank Holidays
  • Pension:                               Workplace pension scheme, including 8% employer contribution

MAIN DUTIES & RESPONSIBILITIES

Reception

  • Provide a prompt, courteous and professional greeting to clients, visitors and telephone callers, responding appropriately to their individual needs and enquiries. Answer basic queries, register new clients, and signpost visitors/callers to the relevant department/office or external organisation as appropriate.
  • Respond appropriately to email and online enquiries from clients and third parties.
  • Provide information to clients from a diverse range of backgrounds and cultures, making use of language interpreter support where needed.
  • Book, reschedule and/or cancel appointments as needed.
  • Ensure that the reception area is presented to a high standard and that any information on display is up to date.
  • Work collaboratively with colleagues and strive to provide a service that is based on sensitivity and respect for clients.
  • Provide administrative and basic IT support to a large team of volunteers and paid staff.

Administration

  • Create and update electronic client and case records in accordance with the organisation’s systems and procedures.
  • Administer incoming and outgoing post.
  • Scan and/or photocopy documents and word process letters and other documents/reports as needed.
  • Administer the regular ordering of stationery and office provisions.

Other duties and responsibilities

  • Assist with research and campaigns work by providing information about clients’ circumstances through the appropriate channels.
  • Contribute to the induction, training and day to day support of volunteers and paid staff working in the organisation.
  • Carry out any other tasks that may be within the scope of the post to ensure the effective delivery and development of the service
  • Demonstrate commitment to the aims and policies of Citizens Advice.
  • Abide by health and safety guidelines and share responsibility for own safety and that of colleagues and clients.

 

PERSON SPECIFICATION

  • Previous experience of working in a receptionist or customer-facing role, with a proven track record of delivering excellent customer service.
  • Excellent communication skills, both face-to-face and on the telephone.
  • Ability to write clearly and accurately.
  • Proven ability to organise, prioritise and multi-task a varied workload, including meeting deadlines under pressure.
  • Ability to work as part of a team and independently with minimal supervision.
  • IT proficient with the ability and willingness to use a range of content management and software applications (with relevant training if required).
  • Ability to maintain efficient administration systems and maintain accurate, up to date records.
  • Willingness to undertake online and in-person training as required and appropriate for the role.
