Working Hours: 22½ hours
Location: Can be based at either the Lancaster, Kendal or Barrow centres
CancerCare are seeking a highly motivated and detail orientated individual to join our team in this newly created role. The role will provide support to the Data & Information Manager and work closely with cross functional teams whereby you will use your analytical expertise to extract insights from data, identify trends and opportunities for improvement.
Main Areas of Responsibility
Support to Quality & Information Manager:
Coding and updating of MYCaw (Measure Yourself Concerns and Wellbeing) questionnaire returns and updating the corresponding IMS (patient management system) referral.
Recording attendance information from external suppliers such as 315 Hydrotherapy and Sandgate Pools and any therapists without IT access onto IMS
Provide back up to Quality and Information Manager in the ability to produce a therapist pay extract in the event of their absence.
Importing/create new client records based on new starters on IMS into the fundraising CRM (Beacon) each month
Support the Quality & Information Manager with tasks as and when required
Support to the Fundraising Team
De-duping the fundraising CRM ensuring any duplicate records are merged
Each month extract data from the CRM to update KPI reports for the Head of Fundraising, and assist with providing some analysis and commentary on the data
Provide support to fundraising when needing to produce data extracts for mail shots or extracts to Starvale, our external Lottery Management company.
Reconcile Lottery extract of players with Beacon on a six monthly basis
Manage the Pay it Forward fundraising campaign including promotions with marketing and producing monthly reports for the Head of Fundraising
Create campaigns and events on the CRM and ensure all campaign and event data is imported and updated
Be able to manipulate, filter and extract data from the CRM to help understand donor journeys
Finance Support
Each month keep abreast of the fundraising record of restricted funds/grants working closely with the Trusts & Grants Officer
Upload Gift Aid declarations onto the CRM and keep gift aid records up to date and ensure they are accurate and compliant with HMRC rules.
Reconcile online income from various platforms against the BACS payments and upload these to Beacon CRM
Set up new Direct Debits through our third party provider
Follow guidelines for accurately coding all income, including restricted income
Enter payments received at each centre onto the CRM and reconcile with the amounts banked.
Download and import weekly reports from Just Giving and all other associated digital platforms (as and when it appears in BACS) into an Excel spreadsheet format ready to import into Sage
Maintain the security and confidentiality of supporters’ details at all times, including adhering to GDPR regulations, de-duping using the CRM de-dupe tool
Be responsible alongside the Quality & Information Manager, for the annual data cleanse
Work with the Head of Finance to ensure that the imported data accurately reflects the Charity’s accounts for audit purposes
Ensure weekly BACS extracts are reconciled and entries in the CRM are created or re-coded appropriately. This can either be creating from scratch or importing enmasse and covers website payments, Regular DD payments, Give As You Live, CAF, TryBooking and Ebay, amongst others
Consult on the structure, design and preparation of database reports to meet the user’s requirements and produce complex reports when requested
Ensure all online income from donors and supporters is recorded accurately on the CRM (from website and Starvale online donations)
Organisational duties
Contribute to organisation effectiveness through positivity and pro-activity
Manage own workload and time, recording daily activity using appropriate software eg Microsoft Outlook
Have a flexible approach to work patterns in line with the needs of the role
Participate in staff training, team meetings and events as requested
